This page describes what Quorum's own systems actually collect, why, and for how long — not a generic template. If a sentence here stops matching the code, the code is wrong or the sentence is; either way, tell us.
Who we are
Quorum is a venture of Richburg Consulting, LLC, based in Charlotte, North Carolina (minority-owned small business, SAM.gov registered, Woman-Owned Small Business (WOSB) certification pending). We source meeting and event venues for small organizations — associations, nonprofits and small boards — free of charge to the organization.
How we're paid, and why it matters here
Quorum is free for your organization. Quorum may earn a commission from venues booked through us. We are not paid by selling data, so we have no reason to. We don't sell your information, and we don't share your details with a venue without asking you first.
What we collect, and why
Five forms on this site write to our systems. Each one is listed here — there are no others.
Tell us about your event (/request)
To open a file and match you with a planner: your name, email, phone and title (phone and title are optional); your organization's name and type; your event's name, attendee count, dates or a description of your dates, city or region, and any notes or meeting-space needs you write in. We open a file for every request, whatever the verdict — including one that doesn't meet our usual minimums, because the honest answer to "you don't qualify" is a short call that says why, not silence.
Join the venue network (/venue-apply)
To evaluate your property as a partner: your property's name, type, brand family, city and state; your name, email, phone and title; your room count and largest meeting-space capacity; and any commission rate, terms or concessions you propose. None of what you type here is treated as agreed — it stays proposed until a partner manager reviews and accepts it, and your property sends no bids until then.
Offer Quorum to your members (/contact)
To review an association partnership: your organization's name, your name, email, phone and title, your membership count, home state, how many events you run a year, your organization's website, and any notes. This form does not create a partnership by itself — a royalty agreement is a signed document, and a form isn't that.
Careers applications (/careers)
To consider your application: your name, email, phone and title, the role, your LinkedIn profile, your location, and any notes. This form does not accept a résumé or other file attachment; if we want to see one, we'll ask for it by email.
What we collect that you don't type
- A hashed copy of your network address, never the address itself. It is combined with a value unique to this deployment and run through a one-way hash before it is stored — enough to notice a flood of submissions from one place, deliberately not enough to be a log of who visited.
- Your browser's user-agent string, for the same abuse-detection purpose.
-
Campaign parameters your link carried (the standard
utm_source,utm_medium,utm_campaignandutm_contentvalues), if any — read once from the page's own address when you submit, never guessed. - Two anti-bot signals — a hidden field a person never sees and how long the form was open before you sent it. These decide whether a submission is treated as spam. A submission flagged this way is still stored, not silently discarded, so our own staff can look at what was rejected on their behalf and disagree with it — but you receive the same reply either way, and we never say which one you got.
We do not run any analytics, advertising or tracking script on this site. The event-request form saves your answers to your own browser as you type, so a page refresh doesn't lose them — that draft never leaves your device until you submit the form.
How long we keep it
Our rule is that the record of a form submission is deleted once it is more than 30 days old. That deletion is not yet automated on our production systems. Until it is, we delete submissions by hand on a regular schedule and on request, so a submission may sit longer than 30 days before it is removed. If your submission led to an open file — a specialist actively working your event, or a venue we're evaluating as a partner — that record is not covered by the 30-day rule; it is kept as an ordinary business record for as long as we need it to provide the service.
Who processes it for us
We use three service providers to run Quorum: Vercel hosts the website and application, Neon hosts the database that stores what you submit, and Resend delivers the emails we send you (such as an approval link). They handle your information only to provide those services to us.
Who sees it
Your information is visible to Quorum staff working your file or evaluating your application — never to a venue, an association, or anyone outside Quorum, unless you choose to proceed and we ask you first. Any commission rate a venue may pay us is shown to you before you choose between properties; nothing about your own contact details is shown to a venue without your say-so.
Your choices
To ask what we have on file about you, correct it, or ask us to delete it, email contact@richburgconsulting.com. We don't yet have a self-service tool for this — every request today is handled by a person, and we'll tell you honestly if something (like an open file another organization is relying on) can't be deleted outright.
Changes to this policy
If how our systems actually handle your information changes, this page changes with it — it is written from the code, not the other way around. We'll update the date below when it does.
