For recurring events

The standing calendar

Register the events you run every year. We open each file at the right moment, carry your brief forward, and use the fact that you come back to get terms a one-off booking never gets.

Why it’s worth doing

Repeat volume is the only real leverage a small group has

A sixty-person meeting has almost no negotiating power on its own. The same sixty-person meeting, confirmed as an annual fixture with a named decision-maker and a history of actually happening, is a different conversation with a director of sales — because what they are buying is the likelihood you come back.

  1. Better attrition terms

The single most valuable thing repeat volume buys. A property that expects you again next year is far more willing to grant cumulative attrition and a wider allowance — which, on a group that can’t predict attendance, is usually worth more than any rate concession.

  2. Multi-year rate conversations

With a registered calendar we can open a two or three-year rate discussion instead of a single-event negotiation. We pursue rate holds and capped escalation. We don’t promise them, because they aren’t ours to promise.

  3. Less work for you

Your brief carries forward. Last year’s contract becomes this year’s starting point. The file opens on time without anyone remembering to start it — which is how most annual meetings end up sourced three months out instead of nine.

The tiers

What registering gets you

There is nothing to sign and no commitment to hold. Registering is a statement of intent, and intent is enough for us to negotiate on — because it is what the venue actually cares about.

  1. Registered

One recurring event on the calendar. The file opens automatically at nine months out. Your brief and last year’s contract carry forward. Same-specialist continuity wherever we can manage it.

  2. Standing

Two or more events a year, or a two-year horizon. Everything above, plus we source your events as a portfolio rather than one at a time, which is a materially stronger position with a property group. Priority capacity in peak season.

  3. Anchor

Three or more events a year, or a three-year horizon. Everything above, plus we pursue multi-year rate agreements across your whole calendar, and on-site event management is included on one event a year at no charge — that’s the only line we ever bill you for.

We do not rebate commission to clients and we will not offer to. It would muddy the disclosure that the whole service rests on, and it would buy you less than the terms we can get instead. What repeat volume is worth is better contract terms, and those go entirely to you.

How far ahead you start changes what we can get

Lead time What’s realistically available
Under 3 months We can usually still help, but you’re taking what’s available. Fewer properties bid, concessions are thin, and attrition terms are close to whatever the property offers first.
3 to 6 months A workable search. Enough properties bid to create real competition on rate and concessions.
6 to 12 months The sweet spot. Properties are still filling the calendar, which is when they concede most. This is where attrition clauses become genuinely negotiable.
Over 12 months Multi-year conversations become possible, and shoulder-date flexibility turns into real money.
